Stages of Preparation for the Conference

1. Key Dates

  • 10 August 2025 – Deadline for submission of talk proposals.
  • 12 August 2025 – Deadline for draft presentation submission (presentation without final images and may be without final texts). In case of the absence of a draft presentation in the application form, a negative decision on your talk may be made before a curator is appointed due to lack of information.
  • 17 August 2025 – Appointment of curators for all talks.
  • 10 September 2025 – Finalisation of talk acceptance into the main programme. Publication of an unbalanced schedule of the conference programme.
  • 24 September 2025 – Finalisation of talk acceptance into the reserve list.
  • 01 November 2025 – Publication of the final schedule of the conference programme.
  • 12 October 2025 – Submission of final presentations by speakers.

2. Preparing a Talk Proposal

  • Submission deadline: Proposals must be submitted no later than 10 August 2025.
  • After submitting your proposal, you will be assigned curators who will help refine your talk and accompanying materials.
  • Curators for all talks will be appointed by 17 August 2025.

Important: Communication with curators will take place on Telegram. Please provide your Telegram username when submitting your proposal.

Before being assigned a curator, any organisational questions can be directed to the @ad_questions chat on Telegram.


3. Iterative Review of Talks

The review and acceptance of talks into the conference programme is conducted iteratively. The list of accepted talks is updated monthly. You can find the current list of accepted talks before the finalisation of the programme [here].


4. Draft Presentation

  • A draft presentation must be submitted to your curator by 12 August 2025.
  • The draft does not need to feature finalised design elements, but must include completed content. In case of the absence of a draft presentation in the application form, a negative decision on your talk may be made before a curator is appointed due to lack of information.

In case of further work on the talk with the curators, it may be possible, among other things, radical changes in the content of the presentation.


5. Finalising Talk Acceptance

  • The acceptance of talks into the programme ends on 10 September 2025.
  • The acceptance of talks into the reserve list ends on 24 September 2025.
  • All accepted talks will be published on the website as part of a list. Your curator will notify you of the status of your talk.

By 24 September 2025, the following must be finalised:

  • Your profile on the conference website (name, photo, company, country, city).
  • Title of the talk.
  • Abstract of the talk.

This information will be sent to the design team for creating participant notebooks and other printed materials and cannot be changed. This applies to all talks in both the main programme and the reserve list.

You must also submit information about any scheduling restrictions:

  • Pre-purchased tickets (air, train, bus).
  • Inability to attend due to work obligations on specific conference days.
  • Participation in other events on conference days.
  • Additional preferences, such as an aversion to being the first speaker or preferences based on personal productivity rhythms.

This information is essential for building the conference's final schedule.

Important: Speakers on the reserve list must be present at the conference on both days, from opening to closing, and be ready to present at any moment.


6. Final Presentation Submission

  • By 03 November 2025, the final presentation version must be uploaded to a designated cloud folder.
  • We recommend familiarising yourself with the guidelines for presentation design and following your curator's advice. If you anticipate any challenges in adhering to the recommendations, please notify the @program_commitee on Telegram in advance.

7. Workshops

  • By 01 November 2025, workshop organisers must provide curators with:
    • A list of required materials for the workshop.
    • Drafts of handouts.
    • Room setup requirements (e.g., seating arrangements).

8. Publication of the Final Programme

The final schedule of the conference programme will be published on the website no later than 01 November 2025.


9. Specifics of Speaker Participation

The conditions for participation vary based on the status of your talk:

  • Accepted into the main programme or reserve list:
    Free participation (travel and accommodation are self-funded).
    Co-speakers: Only one speaker is exempt from the participation fee. Co-speakers pay the full fee valid at the time of submission.

  • Support team:
    Each speaker can invite a support team. Two members from the support team will receive a 15% discount on participation (both offline and online formats). To claim this discount, write a message to @AD_CFO with your full name and the names of the support team members. Team members will need to register for the conference after this.

  • Declined talks:
    Participation at the price valid on the date of proposal submission.

  • Self-withdrawal talks:
    Participation at the current price.
